Laptop Migration Guide
Once you are logged into your laptop, you will be prompted to begin the migration. You will have 5 mins to close any apps and save your work. When you are ready you may click the "migrate now" button at the bottom right hand corner of the pop-up. The migration process will take approximately 15 mins and then you will be prompted to sign in using your email address. If your email address produces an error or looks like the image below, please use the Local login option at the bottom of the screen and sign in using your username and password. Once you are in, please log into the Microsoft apps in the following order (if you see any PLC branding, it is important to follow the instructions in the Microsoft Apps login support article which can be found in the previous folder. OneDrive --> Outlook --> Teams --> OneNote --> Word --> Excel All Staff (STF) notebooks will be accessible through Teams. Please note only Year 12 Student (STU) notebooks are available at this time, no other student notebooks can be accessed.

iPad Migration Guide
Please use this guide for help signing back into the Microsoft Apps. Please navigate and find the Self Service App. This is where we can find all the Apps needed after the migration. The apps we need to install are OneDrive, Outlook, Teams, Word, Excel and Power Point. Then sign in to each of the apps in this order using your first name.lastname@scotch.wa.edu.au email Teams --> Outlook --> OneDrive --> OneNote --> Word --> Excel This is all you need to do for the 2023 Migration for iPads. Staff - Data Migration Process
Please read Shirin Reyhani's email, which was sent to all staff on Friday 6th October, for an outline of what needs to happen post migration. **POST MIGRATION** These steps will need to occur on Thursday morning. MULTI-FACTOR AUTHENTICATION Staff will need to set up the MFA again. Please follow the steps outlined in the solution below. You will have a week to complete this. Guide: Setting up Authenticator ACCOUNT & WIFI You will need to sign back into your account + Scotch WIFI with your current username and password OFFICE APPS You will need to sign back into your Office Apps: Outlook, OneDrive, Teams, Word, PowerPoint, Excel, OneNote on all your devices (including a mobile device) Sign in with your work email and password TEAMS AND CLASS NOTEBOOK Once you have signed back into MS Teams, you will have access to your new class teams. Click on your class team to open the Class Notebook (if applicable), then click [Open in Desktop App] If there are sections or pages missing from your notebook, you can copy content from your old notebook into the new one. Guide: Copying / Moving Sections and Pages in OneNote Once you've checked and copied any work into the new class notebook, you can close your old class notebooks in the OneNote App. Guide: Closing old notebooks * It is important that you close old notebooks so that you are not accidentally making changes to the wrong notebook. Any changes made to old notebooks will not sync. Please encourage your students to follow the same process. They will need to be working from the new class notebook attached to the new team. Get them to close the old notebook once they have checked that all their work has been successfully transferred across. OUTLOOK Once you have signed back into Outlook, you will need to reopen all shared mailboxes and calendars Guide: Opening shared mailboxes in Outlook Guide: Opening shared calendars ONEDRIVE You will need to sign back into the OneDrive App to start syncing your files to your device. Click on the OneDrive icon in the top right menu bar and sign in with your school email and password Please note that all old links from OneDrive / Scotch Central / Forms and Sways will no longer work, and you will need to generate new links. This might impact links you have added to your Class Notebook, SEQTA programs, websites to share files with teaching staff, peers, wider school community, etc. In OneDrive Online, your recent files, pinned files, and shared with me sections will have no history, and you may have to search for files. SCOTCH CENTRAL If you want to sync Scotch Central to your device so you can access files via Finder, refer to the guide below Guide: Scotch Central: Setting it up on your MacBook FORMS & SWAYS Open the Word document you have saved all your links to. In the browser, sign into the new M365 tenant from home.scotch Copy the link from the word document and paste it into the browser Depending on the type of link, you will need to follow the steps outlined in the guides: Guide: Copying Sharing and Duplicating Forms in the New M365 Tenant Guide: Exporting, Sharing or Duplicating Sways STREAM Upload videos to Stream that you want to reshare. If you have links to Stream videos in your Class Notebooks etc, you will need to update these with the new links. Guide: Downloading and Uploading Video to Stream The following page provides staff with additional instructions to support the key processes that need to occur. If you have any specific concerns about data that may be lost in the migration, please arrange a time to meet with an ILT ES or Tech Centre staff member to discuss your concerns. MIGRATION WILL TAKE PLACE FROM 3:30PM FRIDAY, SEPTEMBER 22nd TO 7AM THURSDAY, SEPTEMBER 28TH. During this time, you will not have access to any of your online files, Class Notebooks, Teams, or other Microsoft Suite applications. Therefore, the following will need to be completed prior to September 22nd: * PRIOR TO MIGRATION * UPDATE DEVICE SOFTWARE It is essential that your device is running the most up-to-date software. Guide: Checking for and installing updates on your MacBook Guide: Checking for and installing updates on your iPad ONEDRIVE It is important that the OneDrive App on your device is syncing correctly and that all files are in the cloud prior to the migration; any files that are only stored locally on your device will not be transferred. NB: This will not impact files saved to your desktop or document folders. Guide: OneDrive: Syncing and freeing up space ONENOTE AND CLASS NOTEBOOK As a precaution, prior to the transfer, we recommend all staff do the following: 1. OPEN ALL CURRENT Class Notebooks in the OneNote Desktop App (not OneNote Online or in Teams) and any notebooks that may have been shared with you by a staff member who is no longer working at Scotch. This will allow you to copy content from old notebooks into new notebooks, should the need arise. 2. SAVE A COPY of your current class notebooks to your OneDrive. This is a good backup to ensure none of your work is lost. Guide: How to save a Class Notebook Please note: Only current class notebooks are being transferred; if you have Old Class Notebooks that you want to keep, you will need to save them to your OneDrive. TEAMS Only current [2023] Teams are being transferred in the initial migration; if you have older teams that are still being used, please make note of these and lodge a ticket with the Tech Centre. We recommend you take a screen shot of all your current teams so you can refer to this once the migration occurs, as you will only see the teams that were transferred when you log back into Teams. Please note that all files saved to Private or Group Chats in teams will be lost. If you want to keep access to these files, you will need to download a copy and save it to your OneDrive prior to the migration. Guide: Teams: Saving files from chats Guide: Signing out of Teams OUTLOOK Sign out of Outlook on all your devices Guide: Signing out of Outlook FORMS & SWAYS Unfortunately, it is not possible to automatically migrate existing forms or sways from our current tenant to the new tenant. If you have Microsoft Forms and/or Sways that you want to keep, there are steps you can take to manually move them over. Please refer to the guides for instructions on how to do this. Outlook - How to sign out of your account
To sign out of Outlook, follow these steps: MACBOOK 1. Open Outlook 2. Go to TOOLS > ACCOUNTS 3. Select Scotch Account > click on the [-] sign at the bottom left of the screen to sign out of that account. MOBILE DEVICE (IPAD/IPHONE) 1. Open Outlook 2. Click on the three lines in the top left corner to open the left menu bar Scroll down to the Settings Cog 3. Select Office 365 Scotch Account 4. Scroll down to the bottom: Delete Account.

OneDrive: Syncing and freeing up space
Follow these steps to ensure your files are syncing and the OneDrive app is working. STEP 1. Check OneDrive icon is visible in the status menu bar (top right) If it has disappeared, Search OneDrive using the spotlight to reopen the app (you may have to sign back in) STEP 2. Check that files are syncing Right-click the OneDrive icon in the menu bar to check if all files have synced. If there is a syncing issue, rename the files or folders accordingly. Remember, avoid using invalid characters: “ * : < > ? / \ |. and spaces before and after file names. STEP 3. OPEN FINDER Right click on the OneDrive PLCScotch library and select "Free Up Space." This will ensure all files in your OneDrive are uploaded to the cloud and not locally stored on your device.

If you have files that were attached to private chats in teams, you can save them by following the steps below: 1. Open the Chat 2. Click on the files tab at the top 3. Click on the [...] next the file you want to save / download 4. Select Download > Then save this file to your OneDrive

Senior School Students - Data Migration Instructions
Due to the upcoming migration of data from our current PLCScotch M365 account into our new Scotch M365 account, there are some important steps that must be taken prior to the migration to ensure you don't lose any of your work. THE MIGRATION WILL BEGIN ON FRIDAY 3:30PM, SEPTEMBER 22nd AND END ON THURSDAY 7AM, SEPTEMBER 28TH. During this time, you will not have access to your OneDrive files, Class Notebooks, Teams, or other Microsoft Suite applications. Therefore, the following will need to be completed prior to September 22nd: The key steps for each application are outlined below. Please click on the links for further instructions. * PRIOR TO MIGRATION * 1. CHECK ACCOUNT PASSWORD You will be required to sign back into your account when you return to school after the migration. Make sure you know your current account password. 2. UPDATE DEVICE SOFTWARE It is essential that your device is running the most up-to-date software. Guide: Checking for and installing updates on your MacBook 3. ONEDRIVE Check that the OneDrive App on your device is syncing correctly and that all files are in the cloud prior to the migration. Guide: OneDrive: Syncing and freeing up space Please note: The migration will not impact files saved to your desktop or document folders, just your OneDrive. However, it is important to have all files saved to your OneDrive folder to ensure your data is being backed up. 4. If there are sections or pages missing from your student space, you can copy content from your old notebook into the new one. Forms: Sharing, Copying or Duplicating Forms from the OLD to the NEW M365 Tenant
To access your MS Forms in the new tenant, you will need to follow the steps outlined below. However, before you do this, you need to decide which of the two options below best meets your needs, then follow the steps. Please note that you will be required to copy and paste links into a Word/Pages document, so you can then open the links once signed into the new tenant. Make sure this document is securely saved. Option 1 Option 2 You want to access the form, including all existing responses/data You only need a copy of the blank form template STEP 1. Open the form and click on the [...] ellipse to open settings. STEP 1. Open the form and click on the [...] ellipse to open settings. STEP 2. Select [Add Collaborators] STEP 2. Select [Share as a Template] STEP 3. Copy Link STEP 3. Copy Link STEP 4. Paste the link into a Word/Pages document STEP 4. Paste the link into a Word/Pages document STEP 5. Once you've signed into the new M365 tenant in the browser, open the Word or Pages document, copy the link, and paste it into your web browser to access the form and all its data. STEP 5. Once you've signed into the new M365 tenant in the browser, open the Word or Pages document, copy the link, and paste it into your web browser. STEP 6. If you need to copy this form to create a new blank template, follow these steps. Go to My Form Find the form you want to copy Click on the [...] Select 'copy' STEP 6. Click on the "duplicate" button at the top of screen to create your own copy of the form You will now have your own blank copy of the form to use as you wish. Please note, NO DATA / RESPONSES are transferred when "sharing as a template". If you want the data to come across, you need to follow the steps outlined in Option 1 Video:

Sway: Exporting or Duplicating Sways
There are two options for saving copies of your Sways. You will need to decide which is the option for you. Please note that if you are NOT the original owner of the Sway, you may not be able to carry out some of the steps below due to the existing permission settings of the Sway. OPTION 1 OPTION 2 EXPORT A COPY SHARE LINK AND DUPLICATE This option will allow you to save a PDF or WORD version of Sway. This is a simple option if you just need a record of the Sway for auditing purposes. Such as past newsletters, updates, etc. which you will not be using again or are no longer in circulation This option is best if you want to keep the Sway and all it's formatting Such as templates, task outlines, induction processes, newsletter templates etc any sways that you are currently using or might use again in the future This process is more complicated. STEP 1: Open the Sway STEP 2: Click on the ellipse […] (top right) STEP 3: Select [EXPORT] STEP 1: Open the Sway STEP 2: Click on the ellipse […] (top right) STEP 3: Select [SETTINGS FOR THIS SWAY] STEP 4: Select [FILE FORMAT] - PDF or Word. *If you save as a Word document, it is easier to upload the content to Sway in the future. STEP 5: Save your file to OneDrive or Scotch Central STEP 4: Make sure you have ticked that [Viewers and co-authors can duplicate this Sway]. This is important. STEP 5: Click on the Share button. Select [Anyone with a link can EDIT] STEP 6: COPY LINK STEP 7: Paste the link into a WORD or PAGES document to access later when the new tenant is available. STEP 8: Once you've signed into the new M365 tenant in the browser, open the Word or Pages document, copy the link, and paste it into your web browser to open the Sway. STEP 9: If you want to [DUPLICATE] the Sway (e.g., the original is a template), click on the [...] and select "duplicate this sway." You will now have a copy of the Sway to edit as you like.
