Sway: Exporting or Duplicating Sways
There are two options for saving copies of your Sways. You will need to decide which is the option for you.
Please note that if you are NOT the original owner of the Sway, you may not be able to carry out some of the steps below due to the existing permission settings of the Sway.

EXPORT A COPY
SHARE LINK AND DUPLICATE
- This option will allow you to save a PDF or WORD version of Sway.
- This is a simple option if you just need a record of the Sway for auditing purposes.
- Such as past newsletters, updates, etc. which you will not be using again or are no longer in circulation
- This option is best if you want to keep the Sway and all it's formatting
- Such as templates, task outlines, induction processes, newsletter templates etc any sways that you are currently using or might use again in the future
- This process is more complicated.
STEP 1: Open the Sway
STEP 2: Click on the ellipse […] (top right)
STEP 3: Select [EXPORT]

STEP 3: Select [SETTINGS FOR THIS SWAY]
STEP 4: Select [FILE FORMAT] - PDF or Word.
*If you save as a Word document, it is easier to upload the content to Sway in the future.
STEP 5: Save your file to OneDrive or Scotch Central
STEP 4: Make sure you have ticked that [Viewers and co-authors can duplicate this Sway]. This is important.
STEP 5: Click on the Share button. Select [Anyone with a link can EDIT]
STEP 6: COPY LINK
STEP 7: Paste the link into a WORD or PAGES document to access later when the new tenant is available.
STEP 8: Once you've signed into the new M365 tenant in the browser, open the Word or Pages document, copy the link, and paste it into your web browser to open the Sway.
STEP 9: If you want to [DUPLICATE] the Sway (e.g., the original is a template), click on the [...] and select "duplicate this sway."
You will now have a copy of the Sway to edit as you like.
