OneDrive: Overview & Access
OneDrive provides storage for many types of files, including Word, Excel, PDFs, photographs, video files, etc.
- You will have access to 1TB of personal cloud storage to store and backup files
- Access OneDrive from any internet-connected device using your Scotch username and password.
- User can also collaborate and share files with others using OneDrive
File and Folder Management
Staff and students are encouraged to use a logical folder structure for file management. This is up to the individual, but for students, we recommend “subject folders” or “terms or semesters” as a good start.
Please note that there are some invalid file naming characters that are not compatible with OneDrive. These include: “ * : < > ? / \ |. and spaces before or after file names are not allowed. Files with these characters in the name will not sync.
Accessing your OneDrive files
The files stored in OneDrive can be accessed directly on your MacBook via Finder or directly from a web browser.
1. Finder
This folder is kept in sync with OneDrive in the cloud. If you add, change, or delete a file or folder in OneDrive online, the file or folder is added, changed, or deleted in your OneDrive folder on your computer and vice versa.
The desktop app allows you access to your files offline (if downloaded); any changes you make to files will be synced to the cloud when connection to the internet resumes.
TIP: To add files to OneDrive quickly, just drag and drop files from the download/document/desktop libraries on your computer into your OneDrive folder in Finder.
NB: OneDrive will not accept files with invalid characters and spaces before and after file names e.g. “ * : < > ? / \ |. If you have several files with naming issues, there is a software program that can fix this for you, please see the Tech Centre for further assistance.

2. Browser
Open home.scotch > search "office."
You may need to sign into your Microsoft account the first time you access this.
Click the App Launcher icon to access the OneDrive app.
Tip: Add your Microsoft OneDrive to your browser favourites for quick access in the future.
