OneDrive: Saving and Sharing files
SAVING FILES TO ONEDRIVE
There are several ways you can save files to your OneDrive.
// Option 1: Desktop Apps
When using your desktop apps (Word, PowerPoint, and Excel), select the OneDrive option as the location when saving files. You may need to switch to "online locations" to see this view.

// Option 2: Upload to OneDrive Online
Open OneDrive Online > Click on Upload," browse your computer library, and select the document or folder you wish to upload.

// Option 3: Drag and Drop
Open your Finder app and drag and drop existing files from your desktop, downloads, or document libraries on your computer into your OneDrive folder (in Finder).
SHARING FILES FROM ONEDRIVE
One of the best features offered by OneDrive is that any file or folder you have stored on your OneDrive can be shared, allowing you to collaborate on documents (Word, Excel, PowerPoint, and OneNote) with others.
There are multiple ways to share files.
// Option 1: Share within Word, PowerPoint, or Excel.
Example: In Microsoft Word, click on the share button at the top right and then select the share option that works best for you.
Share Options:

Sendlink (via email)

Copylink and paste it somewhere.

Send a copy: This will send the file as an attachment, which the recipient can use as their own (no collaborating).

Before you send or copy the link, check that the link settings are correct.
- Are you sharing with the correct people?
- Do you want them to have read-only / edit permissions.

// Option 2: Share from OneDrive Online (browser).
Select a file or folder you want to share.
Select "Share" or "Get Link" to get started.
Then select the preferred share option and link permission settings (same as instructions above).

How do I know which files I have shared with others?
Once you start sharing files, you may forget which are shared and which aren't. Check the Sharing column for a quick view of your file and folder permissions.

For a more detailed view of your file permissions, select the file you want to review, click on the settings […] and select "Manage Access".
From here, you can:
- remove shared links
- change file sharing permissions
- see who has edited the file
- view version history and restore old versions.

Where do I find files that have been shared with or by me?
STEP 1: Open OneDrive online.
STEP 2: You can see information about shared files by clicking Shared library from the left menu bar.

NB: If you change the location of a shared file, the link will no longer work. You will need to reshare the file.
