OneDrive / SharePoint: Quick Action Functions
What do the different “quick action” functions in SharePoint and OneDrive mean?
[Send to Cloud]
For files and folders you don’t use regularly, such as folders containing work from previous years, selecting Send to Cloud allows the files to be stored only in the cloud, freeing up local storage on your device.
NB: If you search for these files in Finder, they may not appear, instead, search for files in OneDrive Online.
[Always Keep on this Device]
Traditionally, OneDrive and SharePoint keep files locally on the computer for a fortnight before they are removed locally and stored in the cloud. To avoid this, especially for larger files you use regularly, select Always keep on this device to retain a local copy of the file on the device. This will also allow you to open this file when offline.
[Share]
This allows the document to be shared with other staff and students within the PLCScotch community. Within this Share function, you can choose to either share with individual members or instead copy a link that anyone with the link can access. Additionally, you can toggle the edit rights of members on and off.
[Version History]
This allows you to see every saved version of the document as well as extract previous versions.
